Minutes April 2016 AGM:

1.

Members Present (10): Pete Brilliant, Jeff Chadney, Terry Douglas, Craig Fitzpatrick, Ray Kennedy, Rob Loader, Dave Mattinson,

Apologies: Gary McCarthy - he made an attempt to get here on time, but misunderstood the text about the change of time, and Danny Tuson who turned up at the pre-arranged time.

The  2015 AGM meeting minutes were approved.

3.

The outgoing captain (Steve Tingey) made an emotional speach about the duration of his term in office, enjoyable, great to see new faces, etc.

He gave a tongue in cheek Ettiquette lesson (I think it was tongue in cheek).

Thanks to Dave, Tim & Garry for their roles as treasurer, social secretary and vice captain, and good luck to Gary for next 12 months.

Some hours later, when he eventually arrived, Gary made a presentation to the out-going captain as a gesture of our appreciation.

4.

Basically Dave said we've got loads of money left over so we will keep the subs the same (£100), the prizes the same and look to fund the more expensive away days to keep the cost down.

5.

Dave agreed to carry on unless someone else wanted to do the job

Minutes January 2015 AGM:

1.

The 2014 AGM meeting minutes were approved.

3.

The outgoing captain Dan Tuson thanked Steve Tingey for his help during the year, and when prompted also thanked Dave Mattinson and Tim Wilcox.

Incoming captain Steve Tingey gave Dan Tuson a memento for his year as captain - we’ll never know what as it was difficult to open.

4.

The Treasurer reported that we have a carried forward balance of £1569.19. See a copy of his report for more details, but in the short term we are heavily subsidising this year’s away days as they are quite expensive venues.

Of the suggestions put forward, keeping the subscriptions and prizes the same and subsidising away days more to use up the surplus was the most popular. All members present agreed.

The following officers were elected:

Treasurer: David Mattinson.

Social Secretary: Tim Wilcox.

Handicap Committee: Steve Tingey, Jeff Wybourn, David Mattinson.

6.

The Trophies for the 2014 season were presented as there had been no Ladies Night.  Tim Wilcox made a very moving speech when accepting the Jailer of the Year award.

7.

Going forward:

  • Jailer of the Year, captaincy, and by assumption subscription year to change to run from 1st April to 31st March each year.  This year there will be an additional 5 months of the JoY to allow us to get into sync.

  • AGM will be first week of April (but not in 2015)

  • Trophies will be awarded at Captain’s Day each year.  2015 will include the trophies played for so far.

  • 2015 Captain’s Day will be July 4th

  • Ladies Night is no more…

AoB: Vice Captain for 2015 is Gary McCarthy

Gary suggested that away days should be 36 instead of 27 holes.

There was divided opinion. No decision was taken as this year we are already booked into 36 hole courses.  Various suggestions were made about formats to allow those that want to play all 36 to be accommodated with those only wanting to play 27.

We can’t have the main comp in the afternoon with some playing 18 in the morning and others starting later and only playing 9, as clubs reserve the tee for 1 hour and wouldn’t allow a split start.  The afternoon is likely to be the same.

A possibility would be to make the afternoon comp 9 holes, but allow those wanting to play 18 to go out first am and pm and carrying on after the comp has finished just to complete the course.

It was also pointed out that some people not present, may have taken unpaid leave for a days golf and would therefore want to play a full day if possible.

It was decided to canvas opinion during the year and take this into account when reserving 2016 days out

Raffle for free 4-ball at Shirley Park

We had a prize from Shirley Park of a 4-ball for moving our date this year to accommodate their schedule.  15 names were in the hat raising £75 for the society - those present put the money in for those not, so if you are one of those your sponsor will be in touch to let you know you owe them £5.

2015 Away Days

The dates and venues of this year’s away days are:

  • Knole Park - 21st May

  • Purley Downs - 17th September

 

New Mounding

When the new mounds are in play, and your ball lands there, you are entitled to mark and lift your ball without cleaning it.  You can remove any  stones beneath it, or place your ball within one club length not nearer the hole if the stones cannot be removed. The ball must be placed in a similar lie to the original. To save time, you do not need your partners to witness the procedure. You can only do this in Jailers competitions, not club ones.

If the club have a different procedure we will adopt that instead.

TW mentioned it is the 30th anniversary of the Jailers this year

DM recommends that the subs stay at £100.00 this year this was agreed

PT asks about the lottery winnings and it is agreed that unless a substantial win all winnings will go back into the jailers account.

The 2 away days this year are:

Hever 10th may possible 17th of May TM to confirm confirmed 10th May

(18 holes in the morning/ 9 holes after lunch allowing more drinking time in the evening) cost £65.00 revised cost £82.00 (I forgot about the evening meal…)

Dulwich and Sydenham 20th September 36 holes cost £90.00

Other Business

I was agreed that the food at Christmas was of poor quality.

TD will book Cherry Lodge for Christmas 2012 ladies night, but book a back up place in case the new caterers do no improve during the year.

It was agreed that the methods for working out handicaps and JOY points system stay the same for the coming year.

TW & DG suggest that the Porridge Plate is contested over five events ( 5 Club, 4 Club, Stan Blowes and 2 away days) instead of just the 2 away days.

This was voted 7 to 4 in favour and will now change as of this year.

JW asks for people to respond to captains emails to make it easier for the captain to arrange thinks.

TD presents a new Briefcase.

TD thanked JW for the past year and has a gift for him that is currently in transit.

The minutes for last year’s AGM were agreed, once it had been pointed out that they were published on the Jailers website 1 year ago.

Social Secretaries Report

The 2 away days for next year are May 10th at Addington Palace and September 7th at West Malling

Ladies Night will be booked for the first Saturday in December 2011 - venue to be announced, possibly CLGC.

JW will publish Jailers competition dates when he has had a chance to review the club diary

 

Treasurers Report

£728 carried forward, including a contribution from the Lottery winnings.

DM recommends that subs are kept as £100 for full members, £50 for country members, and that the subsidies for away days is increased.

A vote was taken that country members subsidies at away days is set as half full members subsidies for the same event, and was carried.

The lottery for this year is £53, this being a 53 week year.

Subs and Lottery Money to be paid by end of February.  At the latest, before teeing off on the first away day, the subs must be paid to be considered a Jailer for that competition.

No Christmas gift was bought for the pro/assistants this year. It is held in abeyance whether this will be reinstated for next year

Any Other Business

PB produced the old trophies, replaced this year, and looked for volunteers to house them. BE agreed to keep them safe.

Medals cost about £10 each, and people just keep them in the loft/drawer/garage. It was agreed to replace them with a £10 voucher from the pro, to be presented at Ladies Night.

In his absence, RK had asked if we would accept lady members.  This was voted down (DG abstained)

JW asked about the Texas Scramble for 13th February. It was agreed to submit one team.  If more people want to enter they can organise it themselves.

Morning draw.  It was agreed to try and avoid 2 matches being paired together if possible, but this is still captain’s prerogative

JW thanked PB and presented him with a box containing something

2. Captain’s Report:

Roger said he had enjoyed his year, thanked Dave Mattinson and Tim Wilcox for their help during the year, and the handicapping committee (Dave Mattinson, Pete Tingey, Dave Gough, Ray Kennedy and Phil Doyle). Roger then handed over to Pete Brilliant as the new captain.

3. Treasurer’s Report

Dave Mattinson reported a balance carried forward of £381.07, which was made up of cash in the bank £101.07, deposit paid to Westerham £120 & deposit paid to West Kent £160.

7. Lottery

Dave Mattinson presented a statement of account. It was agreed to continue this, by paying £52 each for the coming year – for those that are in the syndicate

8. Membership and Subscriptions

It was voted in that there are 2 categories of member:

  • Full member of Cherry Lodge = full member of Jailers – fee £100

  • Other category of Cherry Lodge member = part member of Jailers – fee £50

  • The fee entitles the member to enter any Jailers competition and to receive a subsidy on the away days.

  • If someone doesn’t want to enter ANY competition, then they would not be required to pay any fees.

9. Any other business

Stuart said that he knew three people that were thinking of moving from Westerham to Cherry Lodge. They would be welcome to join the Jailers.

2.Captains Report :

Phil gave the meeting notice that Paul Bardens had contacted him to let him know that, because he has a persistent back injury which will prevent him playing golf for at least the next 3 months, he does not feel that he could do justice to the role of Captain next year and is therefore, standing down. Happily, Roger Fryers has agreed to step into the ‘breech’. Phil thanked Roger for agreeing to do that at such short notice and thanked everyone for their support throughout the year especially Tim, Dave Mattinson and Paul.

3. Treasurers Report,

The Treasurer reported that there is a balance of £360 to be carried forward from last year.

D Barnard owes £30 of his £50 country member fee. Proposed keep subs of £100 the same and subsidise the away days. This was agreed. David suggested that it may also be time to replace some of the society’s trophies, he would look at those and recommend replacements, and this was also agreed.

4.Election of Officers.

Roger Fryers was proposed and seconded for Captain and this was agreed unanimously.

Peter Brilliant was proposed and seconded as Vice Captain, again agreed unanimously.

T Wilcox agreed to continue as Social Secretary

5.Competitions and Handicaps

Jailer of the year points to be awarded to top 4: 5,3,2,1. Must be a minimum of six players.

Handicaps to be adjusted following the present rules save that:

1. Top scorer on each Saturday (and any other round of golf played under the Jailers’ society rules) will always get cut, either by usual calculation or, if not cut by that rule, then by ‘one bit’ on the basis that they were the top scorer.

2. None of the players who score Jailers points will get .1 back on their handicap, but they can still be cut if they score better than SS.

3. Standard Scratch always to be calculated from top four players

Social members of CLGC to declare their lowest held handicap.

2. Minutes of Previous meeting: Proposed BE, seconded RK and greed.

3. Captains Report: PC thanked everyone for their support during the year especially KH as Vice Captain, GMc as treasurer, TW as Social Secretary and the Handicap committee DM, KH and PD.

PC advised that we had 21 members and that the average attendance during the year was 14 or 15, the same as the previous year.

4. Treasurers Report

The treasurer reported that the Captain had been exceptionally frugal and, also exceptionally, had supplied the treasurer with all the necessary receipts. Tim Wilcox had paid for cost of web site maintenance.

There are currently 20 paying members.

The society is in a healthy financial position, equivalent of about £40 per member in the accounts.

Members agreed to keep subs at same level and look for more ‘up market’ venues for away day next year. Need to clarify cost of memorial tree for John Sergeant. Accounts agreed.

DB called the meeting to order at 8:05 (they had already been ordering for the last 35 minutes).

Approval of 2004 minutes

The minutes of the previous AGM were circulated two weeks after the last meeting, and were approved on the night.

Captain’s Report

DB thanked the vice-captain DG (although apparently he was never available when DB was not there), the treasurer GM1, the social secretary TW and the handicap committee TW PC & KH for their help during the year.

He said that although numbers were dwindling, the attendances of those remaining was still fairly consistent. He enjoyed both away days, and the Ladies Night where the disco proved more popular than the band. He said choice of venue was always contentious, but as it was Captain’s choice – he chose it.

DB presented the Captain’s Day prize to JC. In case you weren’t aware, a slight administrative hitch prevented this being presented at Ladies Night. JC was, of course, too modest to mention this, and the award had to be forced on him.

DB then formally handed over to DG and swapped seats. DG presented DB with … a box containing something suitable – not sure what. I was distracted by the arrival of RK.

Treasurer’s Report

GM1 presented his report, and was happy to announce that for the first time in 3 years he was able to hand over a reserve to the incoming captain, helped by the decision last year that any over spend would come out of the captain’s pocket.

He commented that the cost of prizes and engraving continue to escalate, and this will always be the case, but that we were helped out this year by the donation of some prizes from Maureen Blowes. The accounts showed a donation to Maureen towards the cost of these. And apparently there are some left.

The largest item of expenditure is Ladies Night, and we could always save £500 of that by having the function at CLGC – but that is not to everyone’s taste. And as DB has already pointed out – it is captain’s choice. This year the captain has chosen a venue that won’t cost anything for the room hire. More on that later…

Election of Officers

DG was elected as captain.

PC was nominated as vice-captain and unanimously voted in

GM1 wasn’t given any choice to stand down as treasurer, and capitulated gracefully

TW ditto for social secretary

The handicap committee was revamped:

KH was re-elected because he wasn’t around to object

RK was elected on the understanding that every time he turned up he’d do it

DM was elected to add an element of sanity to the committee

Competitions, Handicaps etc.

Always a contentious one, this one. To summarise there were three alternatives proposed:

  • At the start of each year, revert to club handicaps and then adjust them according to the current formula

  • Adjust handicaps based on the par for the course (36 points or 72 strokes)

  • Leave well alone

  • Apathy ruled and option 3 was voted in (although the debate didn’t end there – more later…)

Society Awaydays & Ladies Night

The spring and autumn away days are 2nd June at the Wildernesse Club, and 22nd September at Rochester and Cobham Park GC. DG hinted that he would increase the subsidies to these days, but wasn’t prepared to commit himself to a figure at this stage.

The Ladies Night will be held at Dartford GC this year, on Saturday 3rd December. There will be no room charge for this – something to do with favours that DG has to give to the secretary there – so the only extra will be food and disco. Hopefully the cost will be low and we can get lots of guests to attend.

Lottery

RB (looking tanned and healthy) jetted in to agree to continue as organiser. He is jetting out again tomorrow and will be back in 5 weeks to collect the next lot of donations (sorry, contributions).

He also mentioned something about winning £100, £40, & £90 in the last 3 months so we will get a free go soon.

Apparently Hippo told him that he would leave £50 with GM2 when he left the country – but this was flatly denied. DB agreed to text the tight git and tell him to cough up.

RB confirmed that the last set of numbers circulated was still in effect – minus any that had dropped out in the meantime.

Subscriptions, membership etc.

Hardly worth mentioning here as there was no real banter about it, but it was agreed to leave them at £100 for the next year.

Any other business

AB said that a lot of the trophies were getting tatty and could do with dipping or replacing. I always thought dipping was something to do with pickpockets!! Actually, I think this was a ruse for him to point out that he did have most of the trophies worth having – so many in fact that he has to store them in the loft.

AB agreed to find out the cost of repairs before any decision could be made, and that we should do one or two a year to spread the cost.

DM suggested we should replace the Lock-up Trophy. It was voted unanimously, but we forgot to nominate someone to pay for it and also what to replace it with. Watch this space…

JC raised the issue of Mel’s Duck House, and the maintenance of it. It was agreed that we wanted to reinstate it to it’s former glory, with a more prominent plaque, and a better site – maybe a floating pontoon. JC agreed to submit an estimate for the work involved.

GD raised the issue of membership numbers. He pointed out that over the years he had been a net contributor to the membership. No one was sure if this was because he has more friends than anyone else, or if he needed to ingratiate himself with more clients. However he had a valid point that we need to think about actively recruiting new (younger) members, as ‘sitting on our fat arses’ will only result in a gradual decline of the society.

He suggested that we all ask our friends, family, and little old ladies we meet in the street if they would like to join us. Someone (not sure who) suggested approaching Nigel to see if he knew of any suitable candidates.

PC suggested that anyone referred in this way should play a round with PT to see if they are really committed or not (and after that round they probably will be).

Eventually we agreed that we would like up to 4 new members, as long as they are the right kind of member.

TW suggested that after the last couple of letters to the club, complaining about the state of the course etc., that the staff had obviously made an effort (helped by the weather) to improve things, and that we should recognise this. It was agreed that he would draft a letter for
